How can we work efficiently?

After working for 3 years, I dare not say how smooth it is in the workplace, but I still have my own views on how to improve work efficiency.

Let me share my advice with you.

0 1. Plan ahead.

I have a habit of spending 10 minutes making a list of things to do the next day before going to bed at night. I'm used to making a list of things with my mobile app, and I don't need too much. Just write down what you think is the most important thing that must be done tomorrow.

The picture above is my plan for March 26th. Because it is Sunday, I listed my study plan, not my job, as long as you understand the meaning. Then I will allocate my time according to this plan on the 26th. Although there are unexpected things sometimes, if I follow this list, the direction will never be wrong.

Some people like to spend time tidying up their day's work when they go to work in the morning, which is of course no problem. As long as you have this kind of thinking, your work efficiency will not be too bad.

02. Give priority to

It shouldn't be hard to understand how to prioritize. It is what people often call an "important emergency matrix". Through the matrix, things are divided into four categories: important emergency, important non-emergency, unimportant emergency, unimportant or non-emergency, and then dealt with in turn.

These matters are both important and urgent and should be dealt with at once with the highest priority.

Whether it's important or not, this kind of thing can be dealt with later, but don't forget that you must finish the most urgent thing before you start.

It's not important or urgent. If you have subordinates, give them this kind of thing to do. If not, you should do it at once (but it must be after something important and urgent). But please remember, if this kind of thing always happens repeatedly, it proves that there is something wrong with your working method and you should adjust it in time.

03. Concentrate on one thing at a time.

We are not gods, and our attention is limited, so if possible, just do one thing at a time and then concentrate on doing it well.

For example, when I am thinking about a very important thing, I usually turn my mobile phone to vibrate or mute. If a phone call comes in at a critical moment, I won't answer it unless it is very important. I habitually think about a thing or think of a node and then interrupt it, so that my thinking efficiency will become higher and the quality of the scheme I come up with will be good. Of course, I will answer the phone call I missed immediately after the event.

Combine work and rest and have a proper rest.

After lunch, I habitually lie on my desk and rest for half an hour. Although I feel uncomfortable in my neck and arms every time I wake up, the quality of work in the afternoon after rest is guaranteed. After I work for an hour, I usually go out of the office to have a glass of water or go to the toilet. In this way, my highly nervous brain can get an effective rest, and then return to work after rest, which will always have unexpected results.

Maybe it was my five-minute break at work that gave my brain a particularly creative plan.

05. Get things done at once.

The most serious waste is rework waste.

It is said that Huawei has such a culture called "Forever v 1.0". The source of this culture is this: a new employee came to Huawei one year and was assigned to develop a software module after joining the company. The normal development time of similar software modules is about 1 month, but it took the employee nearly half a year to complete it. As a result, it is conceivable that the employee's performance at the end of the year was not very good, which eventually led him to leave Huawei. Later, Huawei found that similar software modules would be upgraded once every few months, but the module developed by that employee has not been upgraded for two years, and it is still no problem to use. Finally, all the modules developed in the same period were upgraded to v 10.0, which is v 1.0.

In order to encourage people who can do things well in one performance, Huawei has added the cultural concept of "Forever v 1.0" to the corporate culture.
